How to Use the Margin Calculator Template
The calculator is organized into two sections: a data entry area where you input your numbers, and a metrics area where the template automatically calculates your results. Here’s how to get started:
Step 1: Open the “Margin Calculator” Tab
When you download the template, you’ll see two tabs at the bottom: “Welcome” and “Margin Calculator.” Click on the Margin Calculator tab to access the active spreadsheet.
Step 2: Enter Your Input Data
The template is pre-populated with sample data for four products. Replace these values with your own information in the yellow input cells. For each product, enter:
Cost per Unit — Manufacturing + Shipping ($)
- Input the total cost to produce and deliver one unit
- This includes direct manufacturing costs, materials, labor, and shipping expenses
- Example: If it costs $200 to manufacture and ship a widget, enter 200
Selling Price per Unit ($)
- Enter the price per unit you charge your customers
- This is the list price or average selling price
- Example: If you sell that widget for $310, enter 310
Units Sold
- Enter the number of units you sold or expect to sell in the period
- Example: 7,500 units
Taxes (%)
- Enter the applicable tax rate as a decimal (0.1 for 10%, 0.05 for 5%)
- This is applied against gross revenue to calculate net revenue
- Example: 0.1 for a 10% tax rate
Fixed Costs — Overhead ($)
- Enter any fixed costs allocated to this product (rent, salaries, utilities, depreciation, etc.)
- These costs don’t change with production volume
- Example: $15,000
Step 3: The Template Calculates Automatically
Once you’ve entered your data, the spreadsheet instantly calculates the following metrics for each product and across your entire portfolio:

| Total Cost ($) | The total manufacturing and shipping costs for all units sold (Cost per Unit × Units Sold) |
| Gross Revenue ($) | Total revenue before any deductions (Selling Price × Units Sold) |
| Net Revenue ($) | Revenue after taxes are applied (Gross Revenue × (1 – Tax Rate)) |
| Profit ($) | The difference between gross revenue and total costs |
| Margin (%) | Gross profit as a percentage of total cost. This shows how much profit you make for every dollar of cost. |
| Fixed Costs ($) | Your allocated overhead |
| Net Profit ($) | Final profit after accounting for both variable and fixed costs (Profit – Fixed Costs) |
| Net Margin (%) | Net profit as a percentage of net revenue. This is your true bottom-line profitability. |
Step 4: Compare Products and Identify Opportunities
The Totals column gives you a complete view of your overall profitability. Use this to:
- Identify your heroes and villains — Which products are most profitable? Which are dragging down margins?
- Spot pricing gaps — Are you pricing below cost on any SKU?
- Test scenarios — Change a cost or price and watch margins update in real time
